Permissions for firms, advisers, fees and specific instructions. The terms below apply to the service you select and the account details supplied with it.
Definitions and interpretation #
| Term | Meaning |
|---|---|
| Platform | Idealx Platform Pty Ltd, ACN 694 912 126, ABN 83 694 912 126. “Idealx”, “we” and “us” refer to Platform for its services unless this document expressly identifies a different provider. |
| Client | the individual or legal entity identified as the account holder in the accepted application, including each trustee in its recorded capacity. “You” and “your” refer to that Client, except where this document expressly addresses an individual Console user or Firm. |
| Firm | the professional, advisory, accounting or fund business identified in the accepted Console application or Client Authority, in the role stated there. |
| Client Authority | the electronically accepted appointment, permission or deduction authority identifying the Client, authorised person or recipient, accounts, scope, limits and duration. |
| Authorised Person | a person whose identity, signing capacity and permissions have been verified for the relevant Client or Firm. Authority is limited to the accounts and actions recorded for that person. |
| Account | the service record and balances maintained for the identified legal Client. A platform account, ledger entry or allocated payment identifier is not by itself a bank deposit account in the Client’s name. |
| Acceptance Record | the retained electronic record of the terms and particulars presented, approving person and capacity, affirmative action and time, together with the provider’s activation confirmation where required. |
| Client-approved Strategy | a non-discretionary strategy service requiring the Client’s initial investment instruction and approval of later proposed investment changes. It is different from an MDA. |
| MDA | a managed discretionary account service under an accepted Investment Program, allowing its properly appointed manager to make investment decisions within that program without approval of each trade. |
| SMSF | a self-managed superannuation fund. Its trustee or trustees act in the fund’s legal capacity and remain subject to applicable superannuation obligations. |
A specific meaning or rule in the relevant service clause prevails over a general definition. References to an accepted schedule or record mean the version supplied for that service, not an undisclosed internal policy. Mandatory legal rights and obligations are not displaced by these definitions.
About this agreement #
These authorities let you appoint a Firm, approve fees or give specific instructions electronically. The account, person, permissions and transaction details displayed before you confirm form part of the relevant authority. You receive an accessible record of what you accepted. An authority takes effect only after the necessary signers have approved it and Idealx has confirmed activation. These reusable terms do not grant an unidentified person access to your account.
Form A. Client appointment of a professional firm #
You appoint the Firm identified on your authority confirmation for the accounts, people or controlled role groups, permissions, limits and duration displayed before acceptance. Your legal identity and capacity are those in the linked account record, including the relevant trustees and trust or fund for a trustee account.
The confirmation identifies the Firm’s legal name, business and regulatory details, authorised team, approving Idealx provider and effective date. Any expiry or review date appears there. If no fixed expiry is agreed, the authority continues until revoked, replaced or otherwise ended under the account terms; required periodic reviews still apply.
Permissions #
Every permission below defaults to not granted until expressly selected and verified. Broad permissions may be selected together, but an 'all access' label cannot replace the recorded scope. The platform must enforce the resulting limits.

An independent Firm remains responsible for its professional advice and decisions. Idealx supplies the agreed access and instruction-processing service; this appointment is not a promise that Idealx will assess every instruction’s investment merits. Idealx’s own obligations and any applicable licensee responsibility remain. An approved KYC route may reuse Firm-collected evidence but does not prove or extend this authority.
The authority does not permit the Firm to lend or pledge assets, bind the Client to an asset-use programme, borrow for the Client, accept a guarantee waiver, change ownership, reset Client security credentials, expand its own powers or approve its own fees. Any such action requires separate valid authority and an available legally approved service.
A general firm dealing authority does not override an active MDA trading restriction. MDA acceptance, any prescribed product-risk consent and current fee authority are recorded separately for the relevant legal account and mandate. Withdrawal and termination remain available; existing direct debit mandates do not become investment-management authority.
Client declaration #
I/we appoint the identified Firm to act only within the permissions and limits recorded above. I/we authorise necessary disclosure of account information to that Firm for these purposes. This does not authorise unrelated marketing, sale of information or access to unlisted accounts.
I/we may reduce or revoke this authority through the authenticated account permissions screen or support@idealx.com. Idealx will confirm implementation; already binding transactions and legal obligations may still be completed. Ending this authority does not itself end my/our separate professional engagement or account agreement.
Your authenticated approval records your identity, signing capacity, selected permissions, document versions and acceptance time. Where an account requires more than one authoriser, the authority remains pending until all required approvals are received.
Firm acknowledgement and Idealx validation #
The Firm accepts the mandate limits and confirms its relevant permissions and personnel controls. It must notify Idealx of changes and may not represent this mandate as conferring a regulatory licence.
Idealx records the Firm’s acknowledgement and the outcome of its authority checks, and supplies the Client with confirmation of the permissions actually activated. A submitted application is not confirmation that the Firm can act.
Form B. Professional fee and deduction authority #
The completed consent identifies the applicable fee arrangement and the period for which deductions are authorised. Any prescribed advice-fee consent requirements also apply; a generic account acceptance does not replace them.
The fee summary shown before acceptance identifies your legal account holder, the fee recipient and contact details, the professional services covered and the applicable engagement terms.
The fee authority specifies whether the charge is one-off or ongoing, the service period, amount or calculation, GST treatment, deduction dates and frequency, collection provider, each source account and the amount or estimate attributable to it. It also states the consent period, renewal requirements and how to withdraw consent. For an ongoing advice-fee arrangement, the prescribed reference day, service and fee information, reasonable estimates and renewal dates are included before consent. A general account authority does not replace those disclosures or extend an expired consent.
Client statement: I/we agree to the specified services and fees and authorise the identified deductions for the stated period. No additional fee or account is authorised by this form. I/we may withdraw or vary consent through the authenticated fee-authority screen or support@idealx.com, with the effect and timing required by applicable law. Any lawfully accrued contractual debt is distinct from continuing deduction authority. My/our representative cannot increase their own fee under this authority.
Idealx supplies an electronic copy and records the authoriser’s identity and capacity, the exact fee summary and terms, authentication, acceptance time, receipt by the deduction provider and the authority’s expiry or withdrawal. Deductions stop when the authority ceases, subject to the applicable legal requirements.
For an SMSF, superannuation, trust or jointly operated account, deductions are available only where the charge has a lawful purpose and the account’s required authorisers have approved it. One person’s login does not authorise every trustee or account holder.
Form C. Fund-side administrator and payment mandate #
The fund-side mandate identifies the trustee or responsible entity, its named fund and capacity, the fund payment account, authorised signatory, personnel, payment limits and approval controls. It applies only to that fund-side account and approved fund information. It does not grant access to investors’ unrelated accounts or appoint Idealx as investment manager or fund auditor. The fund operator accepts the Fund Provider Services Agreement and applicable payment terms separately and remains responsible for lawful instructions and use of scheme money. Any vendor invoice deduction needs a separately accepted payer and account authority; investor subscription money cannot be deducted under this mandate alone.
Administrative automation and provider routing may occur within the accepted authority without a new Client approval for each technical step. Automation cannot create new discretionary investment powers, beneficiaries, fees or asset-use rights beyond the recorded mandate.
Form D. Idealx strategy basket instruction #
A strategy basket instruction covers only the strategy version, account, instruments, directions, quantities or determinable sizing, execution conditions, expiry and maximum debit displayed before confirmation. The review shows estimated transaction charges and cash impact. Idealx preserves the approved basket and records its execution or cancellation status. This does not grant discretion for future strategy changes or new fees.
The initial “Invest and join” confirmation may also authorise the displayed initial basket. Your allocation and total debit budget appear directly beside that action. Later changes require a new approval; notification alone is insufficient.
